Duties and Responsibilities:
• Client and file management, including client intake, conflict searches, and opening and closing files.
• Preparing, organizing and managing confidential legal documentation
• Monitoring, prioritizing, and responding to client calls and emails.
• Organizing and maintaining electronic files and documents within the firm’s document management system.
• Conducting online corporate searches and gathering required information.
• Coordinating and scheduling meetings, schedules and court deadlines, including arranging necessary bookings and logistics.
• Preparing invoices, making revisions, corresponding with clients, and assisting with outstanding accounts.
• Client communication through phone, email and correspondence.
• Preparing files and materials for hearings.
• Providing general administrative support and assisting with additional office duties as needed.

Competencies:
• Must be customer service driven
• Must show initiative to anticipate the needs of lawyers
• Be able to work independently and also work effectively as part of a team
• Handle a fluctuating workload and respond to changing priorities as needs arise.
• Excellent interpersonal and communication skills (verbal and written) with the ability to effectively and tactfully communicate with individuals within the firm and clients.
• Excellent attention to detail and proofreading skills

Qualifications:
• 1 years’ experience is considered an asset, but we welcome applications from post-secondary legal graduates with administrative experience who seek to learn and develop their skills and experience.
• Post secondary education in Business Administration, Legal Administration or a comparable program.
• Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
• Experience using accounting software for billing and invoicing
• Familiarity with electronic document management
• Experience in a similar legal support role considered an asset.

Schedule:
• 35-hour work week, 8:30 a.m. – 4:30 p.m.

Role Overview:
We are currently seeking a full-time Legal Assistant for our team. This role offers the opportunity to work closely on a team comprised of a legal assistant who supports a group of Litigation and Labour Lawyers and performs substantive work that requires knowledge of Civil Litigation and Corporate & Commercial Litigation, including personal injury and medical malpractice, insurance, construction, professional and corporate governance issues and pension law. Duties and Responsibilities:
Drafting correspondence to clients and counsel, ensuring clarity and professionalism.
Preparing pleadings and legal documents with accuracy and attention to detail.
Transcribing dictation to produce letters, emails, and court documents.
Compiling and organizing briefs for legal proceedings.
Reviewing examination for discovery transcripts and preparing undertakings lists.
Managing data in Eclipse, including editing and organizing Affidavit of Documents.
Processing lawyer time, invoices, and general and trust cheque deposits.
Handling billing, including preparing pre-bills and making revisions.
Organizing and maintaining files through scanning, copying, and document systems.
Conducting basic legal research using CanLii and Westlaw.
Monitoring incoming phone calls and communications.
Reviewing documentation to ensure completeness and accuracy.
Preparing files and materials for hearings.
Maintaining files within a document management system.
Supporting additional administrative and legal duties as required.

Competencies:

• Skilled at multitasking in a fast paced environment and completing projects efficiently
• Excellent interpersonal and communication skills—both written and verbal—with the ability to communicate professionally and tactfully with colleagues and clients
• Demonstrated discretion and sound judgment when handling confidential or sensitive information
• Proficiency with Microsoft Excel, Word, and Outlook; experience with ALF and LEAP is considered an asset

Qualifications:
• Minimum of three years of relevant experience
• Post secondary education in Legal Administration or a comparable program
• Proficiency with Microsoft Office applications, including Word, Excel, and Outlook
• Experience in a similar legal support role considered an asset
