Role Overview:

Taylor McCaffrey is seeking a Legal Assistant to support associates in the area of corporate and commercial law, real estate and business planning.

Duties and Responsibilities:

  1. Handle administrative tasks with respect to opening and closing files, and perform conflict searches.
  2. Organize and manage files by scanning and copying documents.
  3. Prepare letters to clients and exchange e-mails with clients.
  4. Draft simple corporate, commercial and trust documents.
  5. Fill out prescribed legal forms, including corporate forms.
  6. Compile electronic document books.
  7. Review forms of Offer to Purchase in order to determine key transactional details.
  8. Open files and assist with preparation of documents for purchase, sale and financing transactions in real estate program (Lawyer Done Deal).
  9. Prepare various Land Titles documents including Transfers, Mortgages, Caveats, Personal Property Security Notices, Discharges and Requests.
  10. Assist with due diligence including searches of public records.
  11. Assist with completing registrations in applicable Land Titles Offices and Personal Property Registries.
  12. Scheduling internal and external meetings, phone calls, and outlook calendar events.
  13. Preparing invoices, attending to trust account deposits and requisitions, managing holdback accounts.
  14. Monitor and respond to phone calls.
  15. Communicate professionally with all internal lawyers and staff, and external clients, referral sources and government offices.
  16. Other duties and responsibilities assigned from time to time.

Competencies:

  1. Must be customer service driven.
  2. Be able to work independently, including remotely from the office, and also work effectively as part of a team.
  3. Handle a demanding workload and respond to changing priorities as needs arise.
  4. Excellent interpersonal and communication skills (verbal and written) with the ability to effectively and tactfully communicate with individuals within the firm and clients external to the firm.
  5. Excellent attention to detail and proofreading skills.
  6. Proficient in Microsoft Office applications (Word, Outlook, Excel).
  7. Ability to multitask in a fast-paced environment and implement projects in a timely manner.
  8. Ability to think creatively.

Qualifications:

  • 5+ years of experience
  • Post-secondary education in Legal Administration
  • Experience in a similar role is an asset

Schedule:

  • 35 hour work week, 8:30 a.m. – 4:30 p.m.

Role Overview:

Taylor McCaffrey is seeking a Legal Assistant to work closely on a team comprised of a legal assistant and a litigation paralegal who support a group of Litigation and Labour Lawyers, and perform substantive work that requires knowledge of Civil Litigation and Corporate & Commercial Litigation, including personal injury and medical malpractice, insurance, construction, professional and corporate governance issues and pension law.

Duties and Responsibilities:

  1. Document Preparation & Legal Drafting
    • Draft correspondence to clients and opposing counsel
    • Draft pleadings and legal documents with confidence
    • Prepare letters, emails, and court documents from dictation
    • Compile briefs for legal proceedings
    • Review examination for discovery transcripts and prepare lists of undertakings
    • Enter and manage data in Local Discovery, including organizing and compiling Affidavits of Documents

 

  1. File & Document Management
    • Organize and manage physical and digital files, including scanning and copying documents
    • Maintain files in the firm’s document management system
    • Prepare files for hearings
    • Perform documentation review as required
  2. Legal Research
    • Utilize CanLII and Westlaw to locate and retrieve case law
  3. Scheduling & Calendar Management
    • Schedule internal and external meetings, phone calls, and calendar events
    • Make necessary bookings and update lawyers’ calendars accordingly
  4. Billing & Time Entry
    • Enter lawyer time and prepare invoices
    • Handle general and trust cheque deposits
    • Prepare and edit pre-bills for review and corrections
  5. Administrative Support
    • Monitor phone calls and provide front-line communication support
    • Assist with other administrative and clerical duties as assigned

Competencies:

  • Must be customer service driven
  • Must show initiative to anticipate the needs of lawyers
  • Be able to work independently and also work effectively as part of a team
  • Handle a demanding workload and respond to changing priorities as needs arise.
  • Excellent interpersonal and communication skills (verbal and written) with the ability to effectively and tactfully communicate with individuals within the firm and clients external to the firm.
  • Excellent attention to detail and proofreading skills
  • Strong computer skills
  • Ability to multitask in a fast-paced environment and implement projects in a timely manner
  • Experience with Acumin and Eclipse is considered an asset.

Qualifications:

  • Post-secondary education in Legal Administration.
  • 2 years’ experience is considered an asset, but we welcome applicants with administrative experience who seek to learn and develop their skills and experience.
  • Experience in the use of MS Office Applications.
  • Experience in a similar role is an asset.
