Legal Professional Positions

We are currently seeking a full-time Legal Assistant to provide general legal assistance to the lawyers and other support staff in the Labour and Employment practice group.

Duties and Responsibilities

  • Drafting correspondence to clients and counsel.
  • Drafting pleadings and legal documents.
  • Preparing files for hearings and arbitrations.
  • Coordinating service and filing for proceedings with various tribunals/forums and courts.
  • Dictation- prepare letters, e-mails and court documents.
  • File management including intake with clients, performing conflict searches, file and client support, opening and closing file processes.
  • Billings- preparing draft bills for review, making necessary corrections, corresponding with clients and assistance with AR collection.
  • Monitoring and responding to cold calls.
  • Organizing files and documents electronically and maintaining them in electronic database.
  • Making necessary bookings, and updating lawyers’ calendars.
  • Providing additional administrative assistance and general office duties as assigned.

Qualifications:

  • 2 years experience is considered an asset, but we welcome applications from post-secondary legal graduates with administrative experience who seek to learn and develop their skills and experience, then advance in the firm.
  • Post-secondary education in Legal Administration.
  • Experience in the use of MS Office Applications.
  • Experience in a similar role is an asset.

Taylor McCaffrey is seeking a Legal Assistant to work closely on a team comprised of a legal assistant and a litigation paralegal who support a group of Litigation and Labour Lawyers, and perform substantive work that requires knowledge of Civil Litigation and Corporate & Commercial Litigation, including personal injury and medical malpractice, insurance, construction, professional and corporate governance issues and pension law.  2 years experience is considered an asset, but we welcome applications from post-secondary legal graduates with administrative experience who seek to learn and develop their skills and experience then advance in the firm.

Duties and Responsibilities

  • Ability to draft correspondence to clients and counsel
  • Confidence to draft pleadings and legal documents
  • Dictation – prepare letters, e-mails and court documents
  • Compiling briefs
  • Reviewing examinations for discovery transcripts and preparing lists of undertakings
  • Enter data into Eclipse, and working within Eclipse to edit, organize and compile voluminous Affidavits of Documents
  • Scheduling internal and external meetings, phone calls, or outlook calendar events
  • Making necessary bookings, and updating lawyers’ calendars
  • Entering lawyer time, prepare invoices; general and trust deposits of cheques
  • Billing (preparing pre-bills for review and making necessary corrections)
  • Organizing and managing files by scanning and copying documents
  • Basic knowledge of CanLii and Westlaw to find copies of cases
  • Monitor phone calls
  • Documentation and review
  • Prepares files for hearings
  • Maintaining files in document management system
  • Other duties and responsibilities assigned from time to time

Competencies:

  • Must be customer service driven
  • Must show initiative to anticipate the needs of lawyers
  • Be able to work independently and also work effectively as part of a team
  • Handle a demanding workload and respond to changing priorities as needs arise.
  • Excellent interpersonal and communication skills (verbal and written) with the ability to effectively and tactfully communicate with individuals within the firm and clients external to the firm.
  • Excellent attention to detail and proofreading skills
  • Strong computer skills
  • Ability to multitask in a fast-paced environment and implement projects in a timely manner
  • Experience with Acumin and Eclipse is considered an asset.

Taylor McCaffrey LLP is currently seeking a full-time Receptionist.  As part of our Services Team you are a professional who will support one of Manitoba’s largest law firms and an industry leader.

This position is focused on two areas of responsibility:  reception and document administration.

As the receptionist, this individual represents the firm to our guests and clients in a professional and friendly, TM manner.  This individual is able to listen to the concerns of our clients and direct them to the appropriate area for service and resolution.

Document administration with respect to client records is a critical part of the firm’s client management responsibilities is also a part of this role.

This position is part of the firm’s Services Team that provides support for a variety of tasks that enhance the firm’s overall operations.  Each member of the Services Team is versatile in their skill set and flexible with respect to ensuring all responsibilities of the team are carried out on a day-to-day basis.

Responsibilities

Document Administration Duties:

  • Document management of the firm’s files and records
  • Administration of the Wills & Estates database
  • Arrange retrievals of client files and file reactivation requests from offsite or onsite storage facility
  • Responsible for the administration of file write-offs

Reception Duties:

  • Answer all incoming calls in a professional manner, redirect calls to appropriate lawyers and staff
  • Maintain the highest level of customer service by greeting and assisting all visitors in a helpful, friendly and professional manner. Notifying firm members of arrivals
  • Answers questions about the firm and provide clients with the contact information
  • Ensure reception is fully supplied with coffee, drinks, etc.
  • Maintain a tidy and clean reception area and monitor boardrooms
  • Receive and deliver faxes from general fax line number
  • Confirm boardroom bookings
  • Contact management when an emergency situation arises
  • Prepare and send out internal daily newsletter
  • Assist accounting with the collection of client payments

Qualifications:

  • High School Diploma
  • Post-secondary education in office administration program considered an asset
  • Experience in the use of MS Office Applications
  • Experience in a similar or administrative role is an asset
  • Ability to lift file boxes (up to 25 lbs)
