Taylor McCaffrey LLP is currently seeking a full-time General Office Support Clerk. As part of our Services Team you are a professional who will support one of Manitoba’s largest law firms and an industry leader.
This position is responsible for a variety of tasks that support the firm’s overall operations. Each member of the Services Team is versatile in their skill set and flexible with respect to ensuring all responsibilities of the team are carried out on a day to day basis. Each team member is a back up to all other members for key responsibility areas. At the present time, shared responsibility areas will include:
Delivery Desk Duties:
• Track incoming and outgoing courier packages, including client document pick ups
• Scan and send documents to firm members
• Ensure staff are aware of package arrivals
• Request couriers using online courier system
• Maintain courier supplies such as packages, envelopes, and address seals
Facility Maintenance
• Place orders for supplies as needed including office, legal binding and cleaning supplies, etc.
• Clean public and high use spaces and surfaces including coffee stations and the Blackstone Lounge
• Ensure public spaces and boardrooms are presentable and clean
• Service calls as required for equipment, etc.
Event Assistance
• Place food orders
• Other related supplies
• Assist with room set up and clean up
Mail Service/Supply
• Sort and scan all incoming postal mail and distribute
• Office Supply maintenance/ordering
File Management
• Closing/ reopening files
• Document Retention and updating of databases
• File destruction
• Ordering supplies
Reception Duties:
• Answer all incoming calls in a professional manner, redirect calls to appropriate lawyers and staff
• Greet, assist, and direct clients and the general public and notify firm members of arrivals
• Answers questions about the firm and provide clients with the contact information
• Ensure reception is fully supplied with coffee, drinks, etc.
• Maintain a tidy and clean reception area
• Receive and deliver faxes from general fax line number
• Confirm boardroom bookings
• Contact management when an emergency situation arises
• Assist accounting with collection of client payments
Qualifications:
• High School Diploma or equivalent but post-secondary education is considered an asset
• Experience in the use of MS Office Applications
• Experience in a similar or administrative role is an asset
• Ability to lift file boxes (up to 25lbs)
Competencies:
• Customer service driven and professional with staff
• Ability to work independently
• Excellent interpersonal and communication skills (verbal and written) with the ability to effectively and tactfully communicate with individuals within and outside of the Firm in person or over the phone.
• Excellent attention to detail
• Ability to multitask in a fast-paced environment
• Team player
Other:
Standard hours: 35 hour work week, 8:30 – 4:30 with occasional fluctuation based on assigned duties.

Role Overview:
Taylor McCaffrey is seeking a Legal Assistant to work closely on a team comprised of a legal assistant and a litigation paralegal who support a group of Litigation and Labour Lawyers, and perform substantive work that requires knowledge of Civil Litigation and Corporate & Commercial Litigation, including personal injury and medical malpractice, insurance, construction, professional and corporate governance issues and pension law.
Duties and Responsibilities:
- Ability to draft correspondence to clients and counsel
- Confidence to draft pleadings and legal documents
- Dictation – prepare letters, e-mails and court documents
- Compiling briefs
- Reviewing examinations for discovery transcripts and preparing lists of undertakings
- Enter data into Local Discovery, and working within Local Discovery to edit, organize and compile voluminous Affidavits of Documents
- Scheduling internal and external meetings, phone calls, or Outlook calendar events
- Making necessary bookings, and updating lawyers’ calendars
- Entering lawyer time, preparing invoices; general and trust deposits of cheques
- Billing (preparing pre-bills for review and making necessary corrections)
- Organizing and managing files by scanning and copying documents
- Basic knowledge of CanLII and Westlaw to find copies of cases
- Monitor phone calls
- Documentation and review
- Prepares files for hearings
- Maintaining files in document management system
- Other duties and responsibilities assigned from time to time
Competencies:
- Must be customer service driven
- Must show initiative to anticipate the needs of lawyers
- Be able to work independently and also work effectively as part of a team
- Handle a demanding workload and respond to changing priorities as needs arise.
- Excellent interpersonal and communication skills (verbal and written) with the ability to effectively and tactfully communicate with individuals within the firm and clients external to the firm.
- Excellent attention to detail and proofreading skills
- Strong computer skills
- Ability to multitask in a fast-paced environment and implement projects in a timely manner
- Experience with Acumin and Eclipse is considered an asset.
Qualifications:
- 2 years’ experience is considered an asset, but we welcome applications from post-secondary legal graduates with administrative experience who seek to learn and develop their skills and experience then advance in the firm.
- Post-secondary education in Legal Administration.
- Experience in the use of MS Office Applications.
- Experience in a similar role is an asset.
